Webhook Support in Governance Workflows

🎉 What’s new

Enhance your Access Management workflows with webhook support, enabling seamless automation of access provisioning and revocation. Now, once an access request is approved in Atlan, or a revocation request is raised, a webhook event can be triggered to launch external processes, ensuring efficient and automated access management.

  • Trigger an event post-approval, for granting access, or upon a revocation request, for removing access
  • Admins can now define actions for revoking access within the Access Management Workflow

✨ Let’s dig deeper

Organizations need a way to automate provisioning and revocation processes once access decisions are made in Atlan. Previously, approvals in Atlan had to be followed by manual actions in external systems to grant or revoke access.

Webhook Support for Automated Provisioning & Revocation

  • After an access request is approved in Atlan, a webhook can be triggered to initiate provisioning in external systems.
  • When a revocation request is raised in Atlan, a webhook can trigger external actions to revoke access from the source system without requiring further approvals.

Access Management Workflow Enhancements

  • The "Data Access Approval Workflow" template will now be renamed Access Management to better reflect its expanded capabilities.
  • Admins can now define actions for revoking access within the Access Management Workflow. Once a revocation request is raised in Atlan, an action (Webhook, Jira, or ServiceNow) can be triggered to ensure access is revoked from the source system.

Important Note: The Access Management Workflow only supports revocation actions for access granted in the source system. Permissions granted through Governance Workflows in Atlan will continue to follow their default revocation process.

Enhancements to workflow management

🎉 What's new

With this update, we’ve introduced several improvements to the workflow experience:

  • Users can now add a custom name to workflows.
  • We now display the user who has stopped a workflow for better traceability.
  • The Run Workflow button will be disabled if a workflow is already running, preventing overlapping executions.

These changes enhance your workflow management and improve overall usability.

✨ Let's dig deeper

  • Improved Workflow Management: Allowing users to add custom names to workflows provides better organization and easier identification of workflows, especially in complex processes.
  • Enhanced Traceability: Displaying the user who stopped a workflow increases accountability and helps track the source of any interruptions, making it easier to troubleshoot and manage workflows.
  • Prevention of Overlapping Executions: Disabling the Run Workflow button when a workflow is already running prevents accidental overlapping executions, ensuring smoother operations and preventing potential errors.

Together, these enhancements streamline workflow management, improve collaboration, and reduce the risk of operational issues.

Introducing trending data products

🎉 What’s new

Introducing trending products on the data products overview page!

  • The new trending products section shows you a list of the top viewed data products in your Atlan instance!
  • The starred products are now accessible from the star icon in the top header in Atlan.

✨ Let’s dig deeper

Trending products provides you a super quick way of seeing the most viewed products in your Atlan instance. It also helps power your discovery experience with this powerful social signal!

  • When you visit the overview page of the products module inside Atlan, you will notice a new section called Trending products.
  • This list of products is sorted by the number of views on the data products with highest viewed product first.
  • This helps you and your users get a sense of what others are viewing, thereby giving you a nudge to try out those popular products.
  • The recently viewed products are visible in a newly designed section that is adjacent to the trending products.

Define rules in policy center

🎉 What's new

By popular demand, we are now enabling teams to define compliance conditions on assets and ensure that governance policies are enforced.

With rules in the Policy Center, you now can:

  • Define compliance rules at a policy level — for example, a GDPR policy will be breached if an asset within the scope of the policy does not have a PII tag.
  • Automatically create incidents when any changes to scoped assets violate these rules.

✨ Let's dig deeper

Previously, while policies helped define governance guidelines, there was no way to define the specifications of what the assets in scope should comply to. The only automated incident triggers occurred when scope definitions were changed. With this change, organizations can now proactively define and enforce compliance conditions, ensuring automated governance across their data assets.

Check this out in the Policy Center and help your organization comply with policies and build confidence with responsible governance and access management.

Streamline data access with ServiceNow integration

🎉 What's new

Raise and track data access and revocation requests with ease using the brand-new ServiceNow integration! Once requests have been approved, tickets will be auto-created in ServiceNow, and you will be able to track their status directly in Atlan — ensuring full visibility without manual creation.

Here's how it works:

  1. You must have the governance workflows and inbox module enabled in your Atlan workspace.
  2. Your Atlan admin needs to set up the ServiceNow integration while working with a System Administrator of your ServiceNow instance with a security_admin role.
  3. Once set up, you can use ServiceNow to request or revoke data access for governed assets in Atlan or any other data source!

✨ Let's dig deeper

Managing data access and revocation requests across multiple systems can be time-consuming and error-prone, often resulting in incomplete details or unnecessary back-and-forth.

Atlan makes this easy with the ServiceNow integration:

  • Raise data access requests — ServiceNow can now be configured as an action within Atlan’s data access governance workflow. After approval, ServiceNow tickets are automatically generated with all the required details.
  • Revoke data access — Atlan admins can now raise data access revocation requests for any user on a source, directly from Atlan. Once initiated, a ServiceNow ticket for the revocation request will be automatically created, streamlining the process.
  • Real-time tracking — track the status of your ServiceNow requests in real time and right within Atlan, reducing delays and increasing transparency.
